Full Job Description
●A bachelor’s degree or equivalent in Business Administration or
closely related field●Minimum Three years experience of working in a
highly automated and high energy office environment●Proficiency in
Microsoft office productivity tools (word, excel, power
point).●Proficiency in Google Office Productivity Tools.●Excellent
communication skills (both verbally and in writing).●Proven ability to
manage multiple tasks simultaneously.●Strong interpersonal skills
(ability to exercise tact, sensitivity, ability to listen, to be
assertive at times).●Ability to work to deadlines and targets, can
prioritize tasks under pressure. ●Reliable and trustworthy.●Good
organizational skills and able to pay attention to detail.●At least 2
years driving experience with an excellent driving record and up to
date Driving License will be a plus.●Ability to be discreet and
maintain high levels of confidentiality. ●Authorized to work in
Ghana.●Willingness to take on new challenge and upgrade skills via
training when necessary to handle new tasks.
Key
responsibilities
Management of Front Office: Meet
and greet visitors and redirect requests. General
office and administrative tasks: filing, telephone answering, data
entry, record keeping, printing, binding etc. Raising
invoices and insertion orders to Clients and HQ. Assist
with the preparation of customer proposals. Scheduling
ad placements with customers and networks. Assist in
bills collection from customers. Assist in gathering
information and distributing information appropriately within the
company in accordance with the Company’s document retention policy.
Preparation of daily, weekly, and monthly reports.
Requisition and cost control: Assist in raising
purchase requests ensuring that the company. receives fair market
pricing for all purchases and contracts. Assist in
Co-coordinating Corporate travel, corporate events and Meetings.
Preparation of Company presentations for MD’s review.
Assist with preparation and submission of Tenders, Bids
and RFPs. Assist with any other adhoc administrative
tasks that may be assigned. Customer service
Ensure customer satisfaction through effective and
timely resolution of customer inquiries. Effectively
manage relationships with suppliers/clients in a professional and
friendly manner. Demonstrate positive and cooperative
behavior with customers and coworkers. Strive for
one-call/one-email resolution of customer issues (with follow up to
establish customer satisfaction and complete resolution)
Use operational systems to closely monitor service performance and
recommend/implement improvements through the use of surveys and other
conventional monitoring tools. Generate weekly and
monthly reports in service performance. Manage service
delivery to the end user. Continuous training to stay
abreast of service and business procedure changes.
